What to write when you check in on a daycare waitlist (with a template)

3 min read · facts checked Oct 19, 2026

Checking in on a waitlist keeps you active, but directors are busy. The best check-in is short, makes your details easy to find, and asks one clear question.

A template you can copy

Subject: Still interested: [child's first name], start [month year]

Hi [director's name], we applied to [program] on [date] for our [son/daughter], [child's name], born [birth date]. We're still very interested in a space from [start date], [days per week] days a week. Could you let us know if there's any update on where we are on your list? Thanks so much, [your names and phone number].

When to send it

  • About two weeks after applying, if the program hasn't confirmed it received your application.
  • Then every six to eight weeks. More often doesn't move you up.
  • Whenever something changes: your start date, the days you need, or your phone number.

What not to do

  • Don't send long emails about your situation. Save that for the tour.
  • Don't call daily or turn up unannounced.
  • Don't forget to withdraw from lists once you've found care.

Daycare Discoverer sends polite check-ins like this for you, on each program's own schedule, and sorts their replies.
